If you don’t follow up in a convenient format, the connection просто fades away. Business relationships only live where there is movement and energy. That’s why it’s important to choose the right channel — and use it properly. Should you call? Or send a message? Maybe invite them to your office?

When choosing the ideal communication channel, it’s important to consider several factors: availability, your counterpart’s preferences, the effectiveness of the channel, and how convenient it is. Here are a few considerations that can help you make the right choice:

Synchronous communication

Synchronous communication channels, such as in-person meetings, video calls, voice calls, or real-time chats, enable instant information exchange and are more suitable when you need to quickly discuss important matters or make оперативные decisions. Synchronous communication can also help build warmer and more trusting relationships.

Asynchronous communication

Asynchronous communication channels, such as email, text messages, social media, or online forums, allow you to exchange information at a convenient time for each party without requiring an immediate response. Asynchronous communication can be preferable if your counterparts are in different time zones, have limited availability, or if a more thoughtful and detailed discussion is needed.

Your counterpart’s preferences

It’s also important to consider your counterpart’s preferences when choosing a communication channel. If they prefer real-time interaction and quick responses, synchronous channels like phone calls or video calls may be more suitable. If they prefer a more relaxed and flexible communication pace, asynchronous channels such as email or text messages will be a better fit.

Very simple: ask. “What’s the most convenient way for you to continue the conversation — Telegram or a quick call?” This kind of question shows respect and consideration for the other person’s time.

Real-time interaction: During a live meeting, you can get immediate answers, have discussions, and make decisions on the spot, which makes communication faster and more effective.

Building trust: Face-to-face communication helps establish trust, as you can better understand each other, see emotional nuances, and create a deeper connection.

Disadvantages:

Physical availability: An in-person meeting requires participants to be physically present, which can be
challenging if they are in different locations or have limited mobility.

Costs: Organizing a live meeting may involve additional expenses such as transportation, accommodation, venue rental, and other costs, especially if participants are in different cities or countries.

Limited flexibility: In-person meetings are constrained by time and location and may require extra effort to coordinate schedules and logistics.

Video call (Zoom and other video conferencing tools)

Advantages:

Visual communication: A video call allows participants to see each other and pick up on nonverbal cues such as facial expressions and gestures, which improves communication compared to voice calls or text messages.

Geographical flexibility: A video call can be held anywhere with internet access, making it easy to connect with people from different cities or countries without the need for physical presence.

Disadvantages:
Technical issues: Video calls can be affected by technical problems such as poor connection quality, unstable internet, or device compatibility issues, which may disrupt communication and reduce effectiveness.

Limited nonverbal communication: Video calls do not always capture all aspects of nonverbal communication, such as subtle gestures, tone nuances, or micro-expressions, which can limit full understanding.

Distractions: During a video call, distractions may occur — such as notifications, other apps on the screen, or background noise — which can reduce focus and attention.

Voice call

Advantages:

Ease of use: A voice call is a simple and convenient way to communicate, requiring no complex technical skills or equipment.

Higher communication quality: Voice calls provide richer interaction than text messages, allowing for faster and more effective exchange of information and ideas.

Emotional tone: A voice call allows you to convey emotions through tone of voice, helping participants better understand each other and build a deeper connection.

Disadvantages:

Time zone limitations: Voice calls can be challenging if participants are in different time zones, making it harder to coordinate schedules.

Limited nonverbal communication: Voice calls lack visual elements such as facial expressions and gestures, which can reduce the depth of understanding.

Short messages (text messages)

Advantages:

Speed and convenience: Short messages allow you to quickly and easily exchange information and ideas without requiring much time or effort.

Storage and archiving: Text messages can be saved and archived for future reference or used as documentation if needed.

Asynchronous communication: Short messages can be exchanged either in real time or asynchronously, at a time convenient for each participant, which is especially useful across different time zones.

Disadvantages:

Limited information volume: Short messages are not ideal for sharing complex or detailed information, especially when deeper explanation or discussion is required.

E-mail

Advantages:

Ability to share detailed information: Email allows you to send structured and detailed content such as documents, images, or links, which is useful when working with complex or large amounts of information.

Formal and professional communication: Email is often used in formal situations, such as business correspondence or official requests, giving communication a more professional tone.

Asynchronous communication: Email enables communication at a convenient time for each participant, allowing them to read and respond according to their own schedule.

Disadvantages:

Risk of losing important messages: Email inboxes can become overloaded, making it harder to track important messages, especially if they are filtered incorrectly or end up in spam.

Risk of misinterpretation: Like text messages, email does not always convey emotions, tone, or nonverbal cues, which can lead to misunderstandings.
