How to communicate with your team when you’re not on Zoom

Master the art of asynchronous communication—express yourself clearly, provide context, and make decisions visible, even when you’re offline.

Why asynchronous communication is the next level of team maturity

We’re increasingly discussing tasks in Slack, recording Loom videos, and leaving comments in Notion.

Now it’s less important to be present and more important to be understood.

How I set a task so that there are no follow‑up questions like “what did you mean by that?”

Когда я ставлю задачу программистам по доработке сайта, я не пишу “сделайте кнопку ярче”.

I record a short Loom video: I share my screen, explain why this is important for the user, and add a comment in Notion:

“The goal is to increase the conversion rate of the application. The button must be visible without scrolling. We’ll check the CTR in 3 days.”

No “what did you mean by that?” questions.

The task is clear, the context is set, the result is measurable.

Asynchronous work takes discipline: you need to speak so that people understand you without a call.

Asynchronous communication requires a different kind of discipline:

— to formulate clearly,
— to provide context,
— to leave a trace.

A good message should still work even if it’s read a day later.

It shouldn’t contain “did you get what I meant?”—only “what exactly we’re doing next and why.”

Async work is about respecting other people’s time and taking responsibility for your words.

Async work is about respecting other people’s time and taking responsibility for your words.

You’re not just saying something — you’re creating an artifact others can rely on: a document, a note, a short Loom video, or a record of a discussion in Notion.

Think in writing: a new kind of leadership without endless Zoom calls

Good managers have learned to think in writing, not just speak out loud.

And this is a new kind of leadership:

visibility, clarity, and predictability — without endless Zoom calls.

That’s how we win.
